FRONT DESK COORDINATOR
Albuquerque, New Mexico

New Mexico Legal Aid (NMLA) provides civil legal services to low-income New Mexicans for a variety of legal issues including domestic violence/family law, consumer protection, housing, and benefits. NMLA has locations throughout the state including Albuquerque, Santa Fe, Las Cruces, Gallup, Roswell, Silver City, Clovis, Hobbs, Las Vegas, Taos, and Santa Ana Pueblo.

New Mexico Legal Aid seeks a Front Desk Coordinator that will be responsible for greeting clients and answering calls, handling mail and shipping, data entry, and other administrative duties in our Albuquerque office.

Reports To: Director of Administration and Training

For this position, the duties of the Front Desk Coordinator will be:
• Answers telephones and directs calls or takes messages as necessary.
• Greets all clients and visitors to the office.
• Deals effectively, politely and compassionately with low-income clients.
• Distributes and restocks educational materials to clients and organizations.
• Understands and executes protocol established with other civil legal service providers and shelters. Directs clients who ask for services not within our priorities to other service providers.
• Schedules intake interviews, alternative outreach or clinic appointments with attorneys and advocates.
• Copies documents and files, collates, and distributes materials for clients and advocates.
• Gets mail and takes care of postage; opens, date stamps, and distributes mail to staff; prepares and mails outgoing mail including FEDEX, courier, certified and any other specialized mailing procedures.
• Learns and develops mastery of the intake process and LegalServer.
• Maintains effective relationships with staff, administration, and community.
• Screens prospective clients for financial eligibility and conflicts.
• Orders needed supplies as necessary.
• Types efficiently and accurately from written and audio material, proofreads, corrects for grammar, punctuation, spelling, and clarity of documents prepared by advocates or attorneys.
• Composes original simple correspondence, cover letters, and memos. Screens messages, mail, or walk-in clients in attorney’s absence.
• Learns and understands local and state court rules and procedures including service of summons, deadlines, filing papers, certificate of service etc. Demonstrates an interest in the community by participating in outreach activities.
• Assists attorneys and paralegals in calendaring court dates, deadlines, and leave.
• Perform other duties as assigned.

Requirements: 

Required Qualifications:
• Minimum high school graduate, or equivalent
• Excellent planning and organizational skills
• Excellent communication skills.
• High level of patience, curiosity, customer service, and compassion for people experiencing trauma and crises.
• Computer literacy to include Word, Excel and Outlook or similar software.
• Ability to read and interpret documents such as policies, operating and maintenance instructions, and procedure manuals
Preferred Qualifications:
• Bi-lingual (English/Spanish)
